What is UKG?

UKG stands for Ultimate Kronos Group. It represents the recent merger of Ultimate Software and Kronos Corporation.

How is UKG Dimensions different from our current Kronos system?

UKG Dimensions is the latest offering from UKG. It has much of the same functionality as our current systems but offers an improved look and feel, enhanced analytics and functionality.

What is wrong with how we currently manage time and schedules?

Nothing is wrong with our current system Workforce Central; it has served us well for many years. However, we feel it is time to improve our technology to better meet the needs of our patients and serve our employees.

I am currently using API; will I be impacted?

Yes, all current users of API will start using UKG Dimensions. Information regarding access and training will be shared.

What does Dimension do?

Dimensions will help us streamline systems and process related to managing your timecard and schedules. It provides visibility to your time and schedule – anytime, anywhere!

When is this happening?

We are rolling out UKG Dimensions in phases:

June 12 & 18 – AM, Corp, STF, SMC, PMC, MSH & PV
July 10 – ABQ
Aug 14 – TUL & AMA
Sept 11 - UTHET

Will any other processes change in conjunction with the UKG Dimensions system?

Yes.

Will my employee number change?

No, your employee number will not change.

How will exempt employees use the system?

As an exempt employee, there will not be a significant impact to your timekeeping processes. You will submit time away (e.g., PTO, bereavement, jury duty, etc.) via the UKG Dimensions.

Am I, as an exempt employee, required to punch in and out?

This is based on your facility requirements

Training


How will Hourly and Exempt Employees be trained?

All employees will receive job aids and instruction from their manager to help them perform their daily.

How will Managers and Timekeepers be trained?

Training will be coordinated through the Learning Management System (LMS).

Is this training mandatory for all managers and timekeepers?

Yes. Training is mandatory in order to get access to timekeeping / scheduling / payroll

When is training?

Training for Managers, Timekeepers & Schedulers will be based on each Go-Live. More information will be shared.

What if I do not complete the training?

No access to administrative functions in attendance, timekeeping and Advanced Scheduler without completing training.

Ongoing Support


Who do I contact if my UKG Dimensions Username or Password is not working, or if I receive a message that my account is locked due to too many incorrect login attempts?

Follow your current Help Desk support process.

Time Clocks & Recording Time


What happens if I forget to punch in or out?

Need to use the paperless missed punch function.

For hourly employees who have limited access to timeclocks or computers, how will their time get recorded?

Contact HR is you have questions.

How will an employee show they work across multiple departments/cost centers during the same shift?

Transfer will be done in schedule or at time clock.

If employees punch in and out on a computer, how are transfers handled?

Registering a transfer from one department to another either at the beginning of a shift or during the shift is handled the same whether the employee uses a timeclock or a computer.

Who do I contact if a timeclock is malfunctioning?

Follow your current Help Desk support process.

If an employee sees the missed a punch while completing their daily timecard approval, can they correct the missed punch themselves, or should they alert their Timekeeper to add a punch for them?

While doing their daily time review, if an employee sees they have a missed punch, they will submit a Missed Punch Request. In the request, they establish the date and time of the missed punch, and they have the option of adding a comment at that time. The Missed Punch Requests routes to the Timekeeper and Manager and waits for approval before the punch is added to the timecard. We recommend that if an employee comes to you and tells you they missed a punch, please help reinforce the new feature and ask them to add a Missed Punch Request. Employees cannot approve a day with a missed punch.

Will Timekeepers be able to approve Time Off Requests and Missed Punch Requests within UKG Dimensions?

Yes, Timekeepers will be able to perform all of the functions that Managers can perform, except approving the timecard at the end of the pay period.

Timecards


Are timekeepers expected to review timecards daily?

Yes.

If an employee works in two departments, which manager is responsible for the employee’s timekeeping?

The manager of the employee’s home department is responsible for the employee’s timecard.

Will UKG Dimensions show an employee’s total hours?

Yes. You can see an employee’s total hours within UKG Dimensions.

What do I do if a timecard from a previous pay period has an error or omission?

Timecard errors are to be corrected in UKG Dimensions via a Historical Time Correction. The hours/adjustments would get picked up on the next payroll period for payment.

Can managers create a list of direct reports?

Yes. Managers and timekeepers will be able to create HyperFind queries that will enable them to segregate the employees who report to them.

Schedules


Should I be making changes in the schedule or in the timecard?

Edits to punches can only be made in the timecard. We encourage all Timekeepers and Managers to utilize the schedule for updates to Time Off Requests, Pay Codes, Labor Account Transfers, Work Rule Transfers, etc.

Will the current schedules automatically roll over to the new system?

No. Schedules will need to be entered again into UKG Dimensions. However, certain standard schedule patterns will be created and available to assign to individual employees.

My department currently does not maintain schedules in the old system or in our current Kronos system. Will my department be required to maintain schedules in UKG Dimensions?

Yes – departments with hourly employees are required to use either basic or advanced schedules

Time Off Requests


Some of my employees currently request time off through email, texts, paper forms, phone calls, or another system. Will they be required to submit time off requests through UKG Dimensions?

The managers, timekeepers, and employees are expected adopt the new process of submitting time off requests online using the new UKG Dimensions system.

Will timekeepers be able to approve time off requests and missed clocking requests?

Yes. Timekeepers will be able to perform all of the functions of managers except approving the timecard at the end of the pay period.

Can an employee retract a time off request? Can a Manager or Timekeeper cancel the request?

If the request has not yet been approved, the employee can cancel the request.

If the request has already been approved, the employee must ask their Manager or Timekeeper to cancel the request.

Can a Timekeeper or Manager change the timeframe for a submitted time off request?

Although a Timekeeper or Manager can edit the dates of a submitted request, we recommend either denying the original request and asking the employee to re-submit a new request off with the correct dates or asking the employee to cancel the request and submit a new request off with the correct timeframe.

How will exempt staff who do not punch in and out submit time off requests?

Exempt staff will submit time off requests through the UKG Dimensions mobile app, the Dimensions web-based app, or at the timeclocks.

Timecard Approvals


I am responsible for Scheduling employees, Managing employees, or Timekeeping for employees. Will my access in UKG Dimensions be the same?

For current UKG Workforce Central users, the access will be similar.

What is the new process for timecard approval by Employees?

Employees are expected to approve their timecards on a daily/pay period basis.

Do I need to approve all of my employees' timecards?

Yes

If a manager has approved a timecard and there is an error noted, can the manager unapprove, make necessary edits and reapprove?

Yes. If the Payroll department has not already started their timecard processing, managers will have the ability to unapprove a timecard to make edits, and then reapprove the timecard. Edits can be made until the payroll close deadline.

Can a timecard be approved if it is missing one or more punches?

If errors or admissions are identified after payroll signs-off, they would need to submit an Historical time correction and those hours would pay on the following pay period.

What happens if an employee doesn’t approve their timecard?

If an employee does not approve their timecard, their manager may approve the timecard and the employee will be paid. Managers will have access to a report that shows which employees did not approve their timecard.

If an employee approves their timecard, does the manager still have to approve the timecard?

Yes. Managers must approve all of their timecards in every pay period.

Accruals


Will I see FMLA available hours in the timecard's Accruals tab?

Yes, Extended Leave available hours will display in the timecard's Accruals tab. And, because employees have unrestricted access to their own timecards, they will be able to see all of their Accrual account balances.

How will I be able to check on how much vacation or sick time I have left?

You will be able to view your PTO balance in UKG Dimensions.

Manager Delegation


Can I delegate all my authority to multiple managers for the same time frame, i.e., so that multiple users can divvy up my workload?

No, you can only delegate to a single person during any given time frame.

Can I delegate only a portion of my permissions/access to a delegate, i.e. I don’t want my delegate approving requests off, but I do want them to approve timecards?

Delegating authority gives all your access to the selected delegate.

I have accepted a delegation request from another manager. I now need to be out of the office for an extended period. Can I forward all my employees and all of my “extra” delegated employees to another user?

No. If you have accepted another user’s delegation request, you are not allowed to forward that authority to another user.

Can the delegate change the end-date of the delegation request?

No. The delegator will establish the begin date and the end date when the request is initiated.

I have submitted a Manager Delegation request for my leave of absence next month. Will I still be able to see my employees' timecards and schedules during the delegation period? How do I access the mobile app?

Yes. You never lose any access during a delegation period; you are simply sharing your access with another user during the delegation period.

Who may download and use the app?

Any employee or agency worker whose work schedules or time is managed within UKG Dimensions Planning.

Who is required to use the app?

No one is required to download and use the app. Use of the app is voluntary.

What tasks can I perform on mobile?

You will be able to: view your schedule and your timecard via mobile application. Note: Some Employee Groups will have additional schedule functionality. See your Manager for further details.

May I download the UKG Dimensions Mobile App on multiple devices?

Yes, there is no limit to the number of devices to which you download and use the UKG Dimensions Mobile App.

Is this mobile app the same as my current Kronos app?

No. UKG Dimensions will be a new app you will need to download from the app store.

What if I check my schedule or perform time or scheduling tasks from home, will I be paid for it?

Using the mobile app is voluntary and optional and thus employees will not be compensated for performing tasks on their mobile device. It is an optional convenience.
