Nothing is wrong with our current system Workforce Central; it has served us well for many years. However, we feel it is time to improve our technology to better meet the needs of our patients and serve our employees.
Yes, all current users of API will start using UKG Dimensions. Information regarding access and training will be shared.
Dimensions will help us streamline systems and process related to managing your timecard and schedules. It provides visibility to your time and schedule – anytime, anywhere!
We are rolling out UKG Dimensions in phases:
June 12 & 18 – AM, Corp, STF, SMC, PMC, MSH & PV

No, your employee number will not change.
As an exempt employee, there will not be a significant impact to your timekeeping processes. You will submit time away (e.g., PTO, bereavement, jury duty, etc.) via the UKG Dimensions.
This is based on your facility requirements
All employees will receive job aids and instruction from their manager to help them perform their daily.
Training will be coordinated through the Learning Management System (LMS).
Yes. Training is mandatory in order to get access to timekeeping / scheduling / payroll
Training for Managers, Timekeepers & Schedulers will be based on each Go-Live. More information will be shared.

Yes. You can access Dimensions from any Internet browser by using the following URL: https://ardenthealthservices.sharepoint.com/sites/Kronos%20Resources/SitePages/Home.aspx. You can also download and use the UKG Dimensions mobile App from any device.

Transfer will be done in schedule or at time clock.
Registering a transfer from one department to another either at the beginning of a shift or during the shift is handled the same whether the employee uses a timeclock or a computer.

While doing their daily time review, if an employee sees they have a missed punch, they will submit a Missed Punch Request. In the request, they establish the date and time of the missed punch, and they have the option of adding a comment at that time. The Missed Punch Requests routes to the Timekeeper and Manager and waits for approval before the punch is added to the timecard. We recommend that if an employee comes to you and tells you they missed a punch, please help reinforce the new feature and ask them to add a Missed Punch Request. Employees cannot approve a day with a missed punch.
Yes, Timekeepers will be able to perform all of the functions that Managers can perform, except approving the timecard at the end of the pay period.

The manager of the employee’s home department is responsible for the employee’s timecard.
Yes. You can see an employee’s total hours within UKG Dimensions.
Timecard errors are to be corrected in UKG Dimensions via a Historical Time Correction. The hours/adjustments would get picked up on the next payroll period for payment.
Yes. Managers and timekeepers will be able to create HyperFind queries that will enable them to segregate the employees who report to them.
Edits to punches can only be made in the timecard. We encourage all Timekeepers and Managers to utilize the schedule for updates to Time Off Requests, Pay Codes, Labor Account Transfers, Work Rule Transfers, etc.
No. Schedules will need to be entered again into UKG Dimensions. However, certain standard schedule patterns will be created and available to assign to individual employees.
Yes – departments with hourly employees are required to use either basic or advanced schedules
The managers, timekeepers, and employees are expected adopt the new process of submitting time off requests online using the new UKG Dimensions system.
Yes. Timekeepers will be able to perform all of the functions of managers except approving the timecard at the end of the pay period.
If the request has not yet been approved, the employee can cancel the request.
If the request has already been approved, the employee must ask their Manager or Timekeeper to cancel the request.
Although a Timekeeper or Manager can edit the dates of a submitted request, we recommend either denying the original request and asking the employee to re-submit a new request off with the correct dates or asking the employee to cancel the request and submit a new request off with the correct timeframe.
Exempt staff will submit time off requests through the UKG Dimensions mobile app, the Dimensions web-based app, or at the timeclocks.
For current UKG Workforce Central users, the access will be similar.
Employees are expected to approve their timecards on a daily/pay period basis.

Yes. If the Payroll department has not already started their timecard processing, managers will have the ability to unapprove a timecard to make edits, and then reapprove the timecard. Edits can be made until the payroll close deadline.

If an employee does not approve their timecard, their manager may approve the timecard and the employee will be paid. Managers will have access to a report that shows which employees did not approve their timecard.
Yes. Managers must approve all of their timecards in every pay period.
Yes, Extended Leave available hours will display in the timecard's Accruals tab. And, because employees have unrestricted access to their own timecards, they will be able to see all of their Accrual account balances.
You will be able to view your PTO balance in UKG Dimensions.
No, you can only delegate to a single person during any given time frame.
Delegating authority gives all your access to the selected delegate.
No. If you have accepted another user’s delegation request, you are not allowed to forward that authority to another user.
No. The delegator will establish the begin date and the end date when the request is initiated.
Yes. You never lose any access during a delegation period; you are simply sharing your access with another user during the delegation period.
Any employee or agency worker whose work schedules or time is managed within UKG Dimensions Planning.
No one is required to download and use the app. Use of the app is voluntary.
You will be able to: view your schedule and your timecard via mobile application. Note: Some Employee Groups will have additional schedule functionality. See your Manager for further details.
Yes, there is no limit to the number of devices to which you download and use the UKG Dimensions Mobile App.
No. UKG Dimensions will be a new app you will need to download from the app store.
Using the mobile app is voluntary and optional and thus employees will not be compensated for performing tasks on their mobile device. It is an optional convenience.
